Unlike a serial number, which may be unique to a single physical unit, a product code typically identifies an entire class or batch of identical items sharing the same specifications, materials, and production run.
Product codes serve three distinct operational purposes. In inventory management, they allow stock systems to track quantities on hand, flag reorder points, and automate warehouse picking. In sales and point-of-sale systems, they link products to pricing, promotions, and revenue reporting. In supply chain and logistics, they enable traceability, batch recalls, and compliance documentation. A single product code might appear on thousands of units across multiple shipments and locations.
Structure and Standards
The format and length of a product code varies by industry and company size. Retailers commonly use the Universal Product Code (UPC), a 12-digit barcode standard. Manufacturers may use internal part numbers combining letters, numbers, and hyphens to encode manufacturing details: plant code, product line, version number, and material grade. A code like PL-2847-A3-SS might indicate a specific production line, part family, revision, and stainless steel material. International distribution often requires additional codes such as the European Article Number (EAN) or a company's global trade item number (GTIN).
Product codes must remain stable throughout a product's commercial life. Changing a code mid-production creates inventory splits, complicates order fulfillment, and breaks historical sales records. When a product is discontinued or substantially redesigned, a new code is assigned; the old code is archived but never reassigned to a different product. This discipline prevents confusion when legacy inventory surfaces years later.
The primary failure mode is code duplication or collision, where two different products accidentally receive the same identifier. This causes system errors, mispicked orders, and billing mistakes. Another common problem is human data entry: handwritten or manually typed codes are prone to transcription errors. Modern systems use barcode scanners and automatic code generation to reduce these risks. In regulated industries such as pharmaceuticals or medical devices, product codes are part of the regulatory record and subject to strict change control procedures.
